This policy explains what personal information The Glamping Group collects, why we collect it, who we share it with and what you can ask us to do about it. We have tried to write it in plain English rather than legalese.

Who we are

The Glamping Group Ltd, company number 13869417, VAT number 473668353. Registered office: Carr Lane, York YO61 1EY. We are the data controller for the information described here.

What we collect

When you enquire or book

Your name, email address and phone number.
The details of your event or booking: dates, venue, tent and bedding choices, guest numbers, and anything you tell us in a message or on a form.
Payment details. Card numbers are handled entirely by Stripe and never reach our systems; we see the amount, the outcome, and the name and email on the payment.
Any correspondence between us, including email and phone notes.

When you start a form and do not finish it

If you type your name and email address into an enquiry form and then leave the page without sending it, we keep what you had filled in at that point, and someone here may ring you to ask whether you would like us to pick it up. We do this so a genuine enquiry is not lost to a lost signal or a distraction. It only happens on our enquiry and brochure forms, never on the newsletter signup, only once both your name and a valid email address are in the form, and not at all if you declined tracking on the cookie banner. We do not add you to any mailing list off the back of it, and you can tell us to delete the record at hello@theglampinggroup.com.

When you book a tent at somebody else's event

If you book through an event page, we share your name and the fact that you have booked with the person hosting that event, so they can plan their guest list. We do not share your payment details with them.

When you visit the website

Pages you view, roughly where you came from, and the type of device and browser you are using.
An anonymous visitor identifier stored in a cookie so we can tell a returning visit from a new one.
Nothing here identifies you by name unless you go on to fill in a form.

Why we use it, and our lawful basis

To answer your enquiry and run your booking. Performance of a contract, or steps taken at your request before entering one.
To take payment and keep accounting records. Performance of a contract, and legal obligation for the records HMRC requires.
To measure how the website is used and improve it. Consent, through the cookie banner.
To send you marketing email if you have asked for it. Consent, which you can withdraw at any time.
To follow up an enquiry form you started but did not send. Our legitimate interest in not losing an enquiry you meant to make. It is a phone call from a person, not an automated email, and it does not put you on a mailing list. Tell us to stop and we will.
To keep our own records and defend claims. Our legitimate interest in running the business.

Cookies

We set a small number of first-party cookies. The banner on your first visit asks before any analytics or advertising cookie runs.

tgg_consent, 180 days. Records whether you accepted or declined, so we stop asking.
tgg_dnt, 180 days. Set only if you decline. It switches our own measurement off.
tgg_vid, 2 years, and tgg_ses, 30 minutes. An anonymous visitor and session identifier used to count visits.
tgg_attrib, 90 days. Remembers how you first found us, for example a search or a link from a festival site.
Google Analytics and Google Tag Manager cookies, which run only if you accept. Decline and we send Google no analytics or advertising signal.

You can change your mind at any time by clearing cookies for this site, or by contacting us.

Who we share it with

We do not sell your information. We use the following processors, each under contract and each with their own privacy terms:

Stripe for payments.
Supabase for our booking database.
Airtable for booking and enquiry records.
Postmark for booking confirmation and event emails.
Google Workspace for our email, and Google Analytics if you have accepted analytics cookies.
Cloudflare, which hosts and serves this website.

We also share what is necessary with the host or organiser of the event you are attending, as described above, and with our accountant and any professional adviser where we have to. We will disclose information if the law requires it.

Where your information is held

Some of these providers are based in the United States. Where information leaves the UK it is transferred under the safeguards UK data protection law allows, such as the UK addendum to the standard contractual clauses.

How long we keep it

Booking and payment records: 7 years, because HMRC requires it.
Enquiries that never became bookings: 3 years, then deleted.
Marketing contacts: until you unsubscribe, and we keep a record of the unsubscribe itself so we do not email you again by accident.
Website analytics: up to 26 months.

Your rights

You can ask us to give you a copy of what we hold, correct it, delete it, restrict what we do with it, or send it to someone else. You can object to processing we do under legitimate interests, and you can withdraw consent for marketing or cookies at any time. Email hello@theglampinggroup.com and we will respond within one month.

If you are not happy with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you told us first so we can put it right.

Marketing email

We only send marketing email to people who have asked for it. Every one carries an unsubscribe link, and you can also email us and we will take you off by hand. Booking confirmations, joining instructions and other email about an event you have booked are not marketing, and you will still receive those.

Children

This website is not aimed at children, and we do not knowingly collect information about them. Bookings must be made by an adult.

Changes

If we change this policy we will update the date at the top of the page.
